Short answer: An ATS friendly resume is a single column document in a standard font, with conventional section headings, no tables, no text boxes, no images and no icons, saved as a text based PDF. Use the wording from the job advertisement where it is true of you, give every role a month and year range, and put personal details such as CNIC at the end rather than the top.
You tailored your resume to the job description, hit submit, and heard nothing. This is a common experience for Pakistani applicants, and the cause is often invisible: an applicant tracking system rejected the file before a person ever opened it.
An ATS is software that collects, parses and ranks applications. When you apply through a company portal, Rozee.pk, LinkedIn or Indeed, your file is usually processed by one first. It extracts the text, matches it against the job description, and scores you. If it cannot read your resume properly, your experience never enters the search results that recruiters actually look at.
What is an ATS and how does it read your resume?
An applicant tracking system does three things. It extracts the text from your file, it sorts that text into fields such as name, employer, job title and dates, and it scores the result against the job description so recruiters can search and rank candidates.
The failure point is the second step. Parsing depends entirely on your layout. A resume that looks polished to a human can extract as scrambled nonsense, and the system does not flag that it went wrong. It simply scores you low and moves on.
What makes a resume ATS friendly?
- A single column. Two column layouts are the most common parsing failure. A parser can read straight across both columns, which merges your job titles into your skills list.
- Standard section headings. Work Experience, Education, Skills, Certifications, Professional Summary. Creative alternatives such as “My Journey” or “What I Bring” are not recognised, so the content underneath may never be categorised.
- A standard font. Arial, Calibri, Times New Roman or Georgia at 10 to 12 point.
- No graphics, icons or images. A parser cannot read them, and they can disrupt the text around them. An icon standing in for a phone number means the number is simply absent.
- No tables or text boxes. Content inside them is frequently skipped entirely.
- Complete dates. Month and year at both ends of every role, because total experience is calculated from these.
- A text based PDF. Send the file you generated. A screenshot or an image export is unreadable to the software and guarantees rejection.
The ATS Friendly template is built to exactly these constraints: Arial, black on white, one column, no icons, and personal details moved to an Additional Information section at the foot of the page rather than occupying the space that gets scored most heavily.
How do you build an ATS resume step by step?
- Start from a clean single column layout with one inch margins. Resist decorative templates from design sites.
- Read the job advertisement and take its nouns. If it says “accounts receivable”, write accounts receivable, not “receivables handling”. Use its words where they are true of you.
- Write the job title the way the market writes it. Internal titles do not travel. If your company called you “Officer Grade II” and the role is advertised as “Assistant Accountant”, lead with the market title.
- Spell out abbreviations once, then use them. A search for “Chartered Accountant” will not match “CA” alone, and the reverse is also true. Write “Chartered Accountant (CA)” the first time.
- Put achievements in the bullets, with numbers where you have them.
- Keep personal details at the end. CNIC and date of birth carry no hiring weight, and many systems score the opening portion most heavily.
- Save as PDF and check the text is selectable. If you cannot highlight a word in the file, neither can the parser.
Do Pakistani employers actually use ATS?
Large employers, multinationals operating in Pakistan and the major job portals do run automated screening. Small and medium businesses often do not, and a referral or a walk in interview may put your CV straight in front of a person.
The practical problem is that you usually cannot tell from the advertisement which applies. That is why an ATS friendly format is the safe default for anything submitted through an upload field, and why a more designed CV is only worth using when you know a human sees it first.
What mistakes cause ATS rejections?
- Creative section titles. “My Expertise” and “Career Highlights” are not standard headings and may leave their content uncategorised.
- A photograph. Common on Pakistani CVs by habit. It cannot be read, it can disturb the surrounding text, and it is unnecessary for domestic applications. Leave it off ATS submissions.
- Two column design. The single most reliable way to scramble your own resume.
- Keyword stuffing. White text, tiny fonts and job descriptions pasted into the footer are detected. The usual outcome is that the application is discarded and the candidate flagged.
- Missing or vague dates. “2022 to present” is acceptable. “Two years” is not, because the system cannot calculate from it.
- Headers and footers. Contact details placed in the document header are sometimes ignored entirely. Keep them in the body of the page.
- Sending a Word file when a PDF was requested, or the reverse. Follow the advertisement. Where it does not say, a text based PDF is the safer choice.
What changes when a resume is reformatted for ATS?
Applicants who start getting callbacks after reformatting have not gained new experience. Three changes account for most of it.
- The text becomes extractable. A two column design with icons can lose a phone number, an employer name or an entire skills block without any warning.
- The wording matches the posting. Ranking is a matching exercise, and paraphrasing costs the match without improving the writing.
- The scored space carries experience rather than personal details. Moving CNIC and date of birth to the end frees the opening of the document for the summary and work history.
How do you check whether your resume is ATS readable?
- Open the PDF and try to select the text. If you cannot highlight it, it is an image and no parser can read it.
- Copy everything and paste it into a plain text editor. Read the result. If job titles and dates are jumbled, or a section is missing, that is roughly what the system sees.
- Check that every heading is conventional and every role has a month and year range.
- Confirm your contact details are in the body, not in the page header.
ATS resume questions, answered
Should I send a PDF or a Word document?
PDF unless the advertisement asks for Word. Modern systems read text based PDFs reliably and a PDF holds your layout. The important part is that the text is selectable rather than an image.
Does a photo really cause problems?
It is invisible to the parser and can disrupt the text around it. For applications inside Pakistan it is also unnecessary. Keep a separate version with a photograph for Gulf applications, where employers do expect one.
How many keywords should I include?
There is no number. Use the language of the advertisement naturally wherever it is genuinely true of your experience. Systems and recruiters both detect padding, and a stuffed resume reads badly to the human who eventually opens it.
Will a plain resume look too boring to a recruiter?
Only if you assume a human sees it first. In a portal application the software decides whether a human sees it at all. For a referral or a walk in interview, a more designed template such as the Classic CV Template is the better choice.
Can I use the same ATS resume for every job?
The format can stay the same. The wording should not. Matching is per posting, so the summary, the job title line and the skills order should change with each application.
Does this apply to Gulf job portals too?
Yes. Volume screening is standard on the large Gulf portals. If the employer also expects nationality, a photograph and visa status, apply with the Gulf Professional template instead.
Where should CNIC and date of birth go?
At the end, under Additional Information, and only if the employer needs them. They carry no hiring weight and they take space in the part of the document that is scored most heavily.
Next step
Audit your current resume against the checklist above. Single column, standard headings, standard font, no graphics or tables, complete dates, wording drawn from the posting, personal details at the end, and a text based PDF. Then paste it into a plain text editor and read what comes out. That output is close to what the system sees, and fixing what you find there is usually the fastest improvement available to a qualified candidate.
